Automated invoice and expense processing

FinSuite processes invoices, receipts and e-invoices: it reads the supplier, amounts and VAT and, once you check them, saves the expense in your software.

In short

  • Automated invoice processing means software reads the supplier, dates, amounts and VAT from a received document, checks them and writes the expense into your invoicing or accounting software. You only confirm.
  • FinSuite handles PDF invoices, receipt photos, ISDOC and Peppol XML e-invoices and saves to SuperFaktúra, KROS OMEGA and ALFA plus today.
  • Nothing is written without your confirmation: you see every document next to its preview and can fix any detail.
  • Plans from €12.90 a month excl. VAT for 40 documents; 30 days and 100 documents free, no credit card.

What automated invoice processing is

Automated processing of invoices (and of expense documents generally) means that software reads what bookkeeping needs from a received invoice or receipt – supplier, company ID, VAT number, dates, amounts by VAT rate, payment reference – checks it and saves the expense in your invoicing or accounting software. Nobody retypes anything; a person only checks. It is also called invoice data extraction or digitising expense documents.

How FinSuite processes your expenses

  1. Collect. Upload PDF invoices, receipt photos from your phone (JPG, PNG), ISDOC files or Slovak eFaktúra e-invoices (Peppol XML) – dozens at once.
  2. Read. FinSuite reads the supplier, company ID, VAT number, issue, delivery and due dates, amounts by VAT rate and the payment reference. From XML it takes the data as it is; from PDFs and photos it reads them with AI.
  3. Check. You see the details next to the document preview. FinSuite completes the supplier from the Slovak or Czech business register, converts foreign currency at the rate the law requires (ECB for Slovak companies, ČNB for Czech ones) and flags a likely duplicate.
  4. Save. Once you confirm, the expense is saved with its PDF attached in your software – today SuperFaktúra, KROS OMEGA and ALFA plus. In SuperFaktúra, FinSuite then suggests which bank payment belongs to which document and marks it paid once you confirm.

Not just invoices: every expense document

A company's costs don't arrive as tidy PDF invoices only. There are eKasa till receipts for fuel and office supplies, invoices from foreign suppliers in other currencies and, from 2027, Slovak e-invoices in XML. FinSuite takes all of them in one place. Read when a receipt is enough for VAT deduction and how received e-invoices get into your books.

Slovak e-invoicing from 2027: why automation still matters

From 1 January 2027, Slovak VAT payers send invoices to Slovak businesses as XML through Peppol. Data in XML is exact, so FinSuite loads it without guessing. But plenty stays on paper or in PDF: eKasa receipts, invoices from non-VAT payers and foreign suppliers, and documents up to €100. Those still need reading. Check whether e-invoicing applies to you and read the 2027 guide.

Automatic, but under your control

AI reads well, but not perfectly, and you are responsible for your books. That's why FinSuite writes nothing without your confirmation and only touches expenses and payments – never your issued invoices. Sign-in works without a password (Google, Microsoft or a one-time e-mail code) and your software credentials are stored encrypted.

Frequently asked questions

What is automated invoice processing?

Software reads the supplier, dates, amounts and VAT from a received invoice or receipt, checks them and saves the expense in your invoicing or accounting software. A person only confirms.

Is it fully automatic, with no person involved?

No. FinSuite reads and checks the data, but saves an expense only after you confirm it next to the document preview. AI can misread a detail and you are responsible for your books.

Which software does FinSuite save to?

Today to SuperFaktúra, KROS OMEGA and ALFA plus. Saving to POHODA, Money S3, Money S4 / S5, Fakturoid, iDoklad, FLOWii and ABRA Flexi is in preparation.

How much does it cost?

From €12.90 a month excl. VAT for 40 documents; on the Pro plan a document costs €0.10. 30 days and 100 documents are free, no credit card.

Does FinSuite also post the entry (account assignment)?

No. FinSuite saves the expense with its details and attachment; how it is posted is decided by your accounting software or your accountant.

What is the difference between data extraction and automated processing?

Extraction is the reading of the data. Automated processing also includes checking it against registers and duplicates, saving the expense in your software and matching the payment.
