> The terms for businesses using FinSuite — what the service does, team roles, subscription, liability, termination and processing data on the customer’s behalf.

Last updated: 2026-10-26

## 1. Operator and definitions

The FinSuite service (the “service”) is operated by:

- Company name: INTERFASE s. r. o.
- Registered office: Doležalova 3424/15C, 821 04 Bratislava
- Company ID (IČO): 57075891
- Tax ID (DIČ): 2122563806
- VAT ID (IČ DPH): SK2122563806
- Registration: Commercial Register of the Bratislava III Municipal Court, section Sro, insert No. 189754/B
- E-mail (general and legal matters, data protection): info@esuite.sk
- Customer support: support@esuite.sk

The service is available at https://fin.esuite.sk; these terms and further information about the service are published at https://esuite.sk/finsuite.

In these terms:

- “customer” means a business or other legal person using the service for its business;
- “user” means a natural person with an account who acts for the customer;
- “company” means the customer’s workspace in the service (one company per company ID), holding its documents, statements, connection and team;
- “document” means an invoice, receipt or other document you upload (PDF, photo, ISDOC e-invoice);
- “connected software” means your invoicing or accounting software into which the service saves expenses.

## 2. The service

FinSuite is a web app for businesses in Slovakia and Czechia. It reads the details of uploaded documents (in particular the supplier, dates, amounts, VAT rates and payment details), lets you review them and, once you confirm, saves them as an expense in your connected software.

Saving expenses works today with: SuperFaktúra, KROS Omega and Alfa. Connections to other software that the app or website lists as upcoming are not part of the operator’s commitment until we make them available in the app.

You can also upload bank statements and match their payments to documents; a match is a proposal you confirm, and a confirmed payment can also be recorded in your connected software where that software allows it.

FinSuite is not accounting software, an accountant or a tax adviser. The customer, or its accountant, remains responsible for its books, the accuracy of the data in them and its tax obligations.

## 3. Who may use the service

The service is only for businesses and other legal persons acting in the course of business (B2B). It is not intended for consumers, so consumer protection rules do not apply to the contract.

Whoever uses the service for a company confirms they are authorised to act for it. We complete the company’s details (name, address, tax and VAT IDs) from public registers by its company ID; the customer is responsible for adding the company lawfully.

The contract between the operator and the customer is concluded when a user finishes setting up the company in the app and thereby accepts these terms.

## 4. Account and sign-in

Accounts are created and signed in to without a password: with a one-time code sent by e-mail, a Google account or a Microsoft account. A sign-in lasts at most 7 days or until you sign out.

Users are responsible for the security of their mailbox and of the Google or Microsoft accounts they sign in with, and for everything done in the service under their account. Report any suspected misuse without delay to support@esuite.sk.

One account can work in several companies, with its own role in each.

## 5. Company, team and roles

Several people can work in a company. Each has one of these roles:

- Owner — manages everything, including the team, company details, connection, export, payments for FinSuite, handing over ownership and deleting the company. A company always has at least one owner.
- Admin — runs the company on the owner’s behalf (for example a larger company’s finance director): the team including other admins, company details, connection, export and payments for FinSuite. Cannot delete the company, hand over ownership, make anyone an owner, or change or remove owners.
- Accountant — runs the company: edits its details and the software connection, exports data, sees the activity history and invites other accountants. Cannot change the company ID or country, manage the team or delete the company.
- Colleague — uploads and reviews documents, saves them to the software and matches payments.

People join a company only by invitation from someone allowed to send it, or with an owner’s or admin’s approval of an access request. An owner can hand the company over to someone else (for example, an accountant who set up a client’s company hands it to the client); an ownership invitation is valid for 30 days.

Owners and admins are e-mailed when an accountant edits the company details, connects or disconnects the software, exports data or invites another accountant. Removing someone from the team only ends their access to that company; it never deletes the company’s data.

The customer is responsible for whom it gives access to the company and in which role.

## 6. AI reading and your review

We read documents and PDF statements using artificial intelligence (the processors involved are listed in the Privacy policy). The details read are a proposal and may contain errors.

Nothing is written to your connected software without your confirmation, and no payment match is confirmed automatically. Review the details before confirming — especially amounts, VAT rates, dates and the supplier. By confirming, you take responsibility for their accuracy.

The service’s warnings (for example, of a possible duplicate) are an aid, not a guarantee.

## 7. Connecting your software

To save expenses you connect the company to your software — with an API key or credentials from its vendor, by approving the connection with the vendor, or, for KROS software, by entering the e-mail address of KROS Digitálna kancelária, to which we send reviewed documents as PDF.

We use that access only to write expenses, their attachments and payments, and to read what that requires (for example, choosing the company in the software). Credentials are stored encrypted; an owner, admin or accountant can remove the connection at any time.

You need your own valid licence from the software vendor (for some software a paid edition or add-on service). We are not responsible for the availability, features or changes of third-party software; if a vendor changes its interface, the connection may be temporarily unavailable.

## 8. Subscription, trial and payments

The service is paid by a monthly subscription for each company separately. The current price list and plan details (in particular documents per month) are shown in the app before purchase; you order a plan in the app.

Until a subscription is introduced for your company, you use the service free of charge. We will announce the introduction of charges by e-mail at least 14 days in advance, and you pay nothing until you order a plan yourself.

- Trial: a new company gets a free trial once its setup is finished, with no card required; its length and number of documents are shown in the app. The same company (country and company ID) gets it only once, even if it is deleted and created again.
- Successfully read documents in the billing period count. Reading again, duplicate files and failed readings do not count. Once a plan’s limit is exceeded, only uploading further documents stops.
- The payer is the company itself or another payer, such as an accounting office paying for several companies. Paying gives neither ownership of nor access to the company. A payer proposed by an accountant must be confirmed by an owner or admin; owners and admins can take over payment at any time.
- Card payments are processed by the payment provider Stripe. You enter card details directly with Stripe; the operator neither sees nor stores them.
- Moving to a higher plan applies at once, with the pro-rated difference charged; moving to a lower plan applies from the next billing period. You can cancel the subscription at the end of the paid period. Amounts already paid are not refunded pro rata.

We issue invoices for the subscription electronically and charge VAT as the law requires. We announce price changes by e-mail at least 14 days in advance; a new price applies from the next billing period.

## 9. Non-payment and read-only mode

If a payment fails, a trial ends without a plan, or payment is stopped, the company has a 14-day grace period. It then switches to read-only mode, which we tell you about by e-mail in advance.

In read-only mode the paid work stops: uploading and re-reading documents, saving to the software, uploading statements, and confirming and recording payments. We never lock your data away — viewing, downloading originals, the company export (ZIP), team management and deleting keep working, and work already running is finished. Once paid, the company returns to full operation.

If a company stays in read-only mode for 12 months, we delete its data. We warn you by e-mail 30 and 7 days before.

## 10. Availability, support and liability

We run the service with professional care but do not guarantee uninterrupted or error-free availability. We aim to announce planned maintenance that limits the service in advance. Support is provided by e-mail at support@esuite.sk.

To the extent permitted by law, we are not liable for loss caused by confirming incorrect details, by outages or changes of third-party software, by the customer’s own internet outages, or for lost profit and indirect loss.

The customer is responsible for the content of the documents and statements it uploads and for being entitled to process them in the service.

## 11. Acceptable use and suspension

The customer and its users undertake to:

- upload only documents and statements they are entitled to process;
- not use the service unlawfully, not bypass its technical limits and not load it with automated requests beyond normal use;
- protect their sign-in and the credentials of the connected software.

If these rules are broken, the security of the service or other customers is at risk, or the law requires it, we may suspend a user’s or a company’s access. We will tell you about the suspension and its reason without delay unless that would put security at risk, and restore access once the reason is gone.

## 12. Termination and data export

Owners, admins and accountants can download the company export at any time (a ZIP with all original documents and CSV overviews of documents and payments), read-only mode included.

An owner can delete the company at any time. A user can close their account at any time; a last owner of a company where other people work must first hand it over or remove the others. Companies the user worked in alone are deleted with the account. Before you confirm, the app shows what is deleted and what stays.

Deleted data is removed from the app at once and from backups within 30 days. Expenses and payments already saved in your connected software stay there.

The operator may terminate the contract by notice sent by e-mail in advance, leaving the customer time to export its data, or with immediate effect for a material breach of these terms.

## 13. Personal data

How we process users’ personal data is described in the Privacy policy. For the documents, statements and other data a customer uploads, the customer is the controller and we are its processor; the annex to these terms governs that processing.

## 14. Changes to these terms

We announce changes to company owners by e-mail at least 14 days before they take effect. If you disagree, you can delete the company or close your account before then; using the service after the change takes effect means you accept it.

## 15. Governing law and disputes

The contract and these terms are governed by the laws of the Slovak Republic, in particular the Commercial Code. We will try to settle any dispute amicably — write to info@esuite.sk. Failing that, the competent court of the Slovak Republic decides.

If any provision is invalid, the others remain in force.

## Annex: Processing personal data on the customer’s behalf (Art. 28 GDPR)

This annex is the data processing agreement between the customer (controller) and INTERFASE s. r. o. (processor).

- Subject and duration: processing the personal data in documents, statements and other data the customer uploads, for the term of the contract and until deletion under “Deletion” below.
- Nature and purpose: storing, reading (including by AI), displaying for review, matching payments, handing over to the connected software, exporting and deleting — solely to provide the service.
- Data subjects: the customer’s suppliers and customers and their staff or contact persons, counterparties of payments in bank statements, the customer’s users.
- Types of personal data: in particular names, addresses, business IDs, e-mail addresses and phone numbers shown in documents, bank account numbers, payment details and payment messages.

The processor undertakes to:

- process personal data only on the customer’s instructions — these terms and actions in the app (upload, confirmation, connection, export, deletion) — and tell the customer if it believes an instruction infringes the law;
- ensure that persons authorised to process the data are bound by confidentiality and have access only as needed for operation and support;
- take appropriate technical and organisational measures under Art. 32 GDPR, in particular encrypted connections (HTTPS), encrypted storage of software credentials, separation of each company’s data, role-based access, an activity log and regular backups;
- engage further processors (listed in the Privacy policy) only under a contract with the same obligations; the customer gives its general authorisation, and we will inform it by e-mail in advance of any intended change, so it can object or terminate;
- transfer data outside the European Economic Area only on the basis of appropriate safeguards under Art. 46 GDPR;
- assist the customer with data subjects’ requests (the app lets you view, export and delete data) and with its obligations under Arts. 32 to 36 GDPR;
- notify the customer of a personal data breach without undue delay after becoming aware of it;
- make available the information needed to demonstrate compliance with these obligations and allow audits to a reasonable extent, agreed in advance.

Deletion: once a company is deleted or the contract ends, we delete the data from the app at once and from backups within 30 days, unless the law requires keeping it. The customer can export the data before deletion.
