# Received e-invoices from 2027: getting them into SuperFaktúra, KROS or POHODA without retyping

> From 2027 invoices from Slovak VAT payers arrive as XML through your access point. What you must do with them, how to load them into your books, and what to do with documents that stay PDF.

## In short

- A received e-invoice is a Peppol BIS 3.0 XML file delivered by your access point (“digitálny poštár”). It must be checked, booked, matched to its payment and archived as XML for 10 years.
- The XML holds every detail, so retyping goes away, provided your software really loads the whole file, not just the header.
- PDFs and paper remain alongside: receipts up to €400, invoices from non-VAT payers, foreign invoices and 2026 documents.
- You save the most time with one process for every document: XML and PDF in one place, review, saving to your software and bank matching.

The e-invoicing debate is about issuing. Yet most companies receive more invoices than they issue, and that is where 1 January 2027 changes the most. What exactly will you receive, what must you do with it, and how do you handle it without retyping?

## What you will receive from 2027

Invoices from Slovak VAT payers arrive as an **XML file in the Peppol BIS 3.0 format** in your access point’s inbox. A PDF may be attached, but the XML is the invoice. Under the current wording the access point reports data from the received invoice to the Financial Administration within 5 days. A pending amendment would drop this duty for the buyer (status as of 28 October 2026 in the [e-invoicing guide](https://esuite.sk/finsuite/en/articles/slovak-e-invoicing-2027)).

## What you must do with a received e-invoice

1. **Receive it.** Without an access point you won’t get it; being ready to receive is your responsibility.
2. **Check it.** Validation checks the format, not the content. Whether the goods arrived, the prices match and the invoice isn’t a duplicate is for a person to judge.
3. **Book it** in your invoicing or accounting software.
4. **Match it to its payment** from the bank statement.
5. **Archive the XML for 10 years** (VAT payers, §85o(15) of the VAT Act).

## How the XML gets into your software

It depends on your access point and software:

| Situation | What it looks like |
| --- | --- |
| The access point is built into your invoicing or accounting software | The invoice appears in the software. Check that it loads completely, including line items and VAT by rate. |
| The access point is a separate service | You download the XML from its portal or receive it by e-mail and import it. |
| KROS Omega and Alfa | KROS offers an access point and Digitálna kancelária. According to KROS, without Digitálna kancelária only the header of a received e-invoice loads into Omega. |
| POHODA | POHODA imports received invoices from XML in its own format (XML document import). |

The Financial Administration’s manual recommends asking your software vendor two things: whether it loads a received e-invoice **without manual retyping**, and whether it **matches it with the payment**. If either answer is “no”, the retyping just moves from the PDF to the access point’s screen.

## Documents that stay PDF or paper

Mandatory e-invoicing doesn’t cover every document. After 2027 you will still receive:

- **eKasa receipts up to €400** and other documents up to €100,
- invoices from **non-VAT payers** (they don’t have to issue XML),
- invoices from **foreign and Czech suppliers** (the cross-border mandate comes in 2030),
- documents whose invoicing obligation arose **in 2026**,
- invoices a supplier e-mails with your consent.

For a small company that can still be a large share of costs. Handling XML one way and PDFs another means two processes, two places and twice the risk of something slipping.

## One process for every document

The least work is a process that doesn’t care how a document arrived:

1. Every document in one place: XML from the access point, PDFs from e-mail, receipt photos from the phone.
2. Details are extracted automatically: exactly from XML, by reading the document from PDFs and photos.
3. A person checks the details next to the document preview and confirms.
4. The expense is written to your software with its document.
5. The bank payment is matched to the document.

That is how FinSuite works. Upload an XML e-invoice, ISDOC, PDF or receipt photo and FinSuite reads the supplier, amounts and VAT, taking XML values straight from the file and reading the rest. Once you confirm, it saves them as expenses in SuperFaktúra or sends them to KROS Digitálna kancelária for Omega and Alfa; saving to POHODA, Money and others is being finished with the vendors ([integration status](https://esuite.sk/finsuite/en/integrations)). FinSuite is not an access point: you keep receiving XML through yours.

## Frequently asked questions

### Where do I pick up a received e-invoice?

From your access point: in its portal, in your invoicing software if it includes one, or by e-mail if the provider offers it.

### Must I archive received e-invoices as XML?

VAT payers yes, for 10 years from the end of the year they relate to. The VAT Act doesn’t require it of non-VAT payers, but Accounting Act periods apply.

### Will my software load the whole e-invoice?

Ask the vendor whether it loads line items and VAT by rate and matches the invoice with the payment. According to KROS, for example, Omega without Digitálna kancelária loads only the header.

### Is FinSuite an access point?

No. FinSuite processes the XML e-invoice you get from your access point, as well as PDFs and receipts, and saves it to your software.
